infrastructure budget

Dear board,

I'd like to call for your vote on a new infrastructure budget, but not without some explanations:

As you might have seen from the postings on the website list, the infrastructure team met a few days ago, planning the next steps. Luckily, we have been offered hardware support by a large German hoster. Given that this will totally change the way our platform works (two large machines instead of several small ones, moving from LXC to KVM, and virtualizing all services), this is not reasonable before spring or summer of 2013, as otherwise, we would open even more construction sites than we have already.

As an intermediate solution, we would like to continue our current efforts with providing a stable and recent infrastructure platform on appropriate hardware, migrating to recent software versions. Right now, the machines are a mixture of old and new hardware, old and recent distributions, and we would like to leave that status very soon, so we have a stable platform by the beginning of next year, from which we then could migrate away easily to donated servers if we want, or stay with our existing hoster.

Although we should plan an overall budget for 2013 soon, I'd like to request your approval for infrastructure budget already now, so we can continue with the urgent migration work.

Our current infrastructure, not taking into account one machine that is already active for migration purposes, produces these costs:

bilbo (EQ4)
49,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for SSD
15,00 ¤ SSD

kermit (EQ4)
49,00 ¤ base fee
39,00 ¤ GBit port

pumbaa (EX6)
69,00 ¤ base fee
39,00 ¤ GBit port

floyd (EX6)
69,00 ¤ base fee
39,00 ¤ GBit port

grisu (EX 6S)
79,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for subnet
22,50 ¤ /27 subnet

monthly 592,50 ¤
yearly 7.110,00 ¤

The new infrastructure, after all the old machines have been taken down, will produce these costs:

bilbo (EX6S)

79,00 ¤ base fee
39,00 ¤ GBit port
149,00 ¤ setup fee

kermit (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for failover
5,00 ¤ Failover-IP

pumbaa (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
99,00 ¤ upgrade fee

grisu (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for subnet
22,50 ¤ /27 subnet

floyd (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
99,00 ¤ upgrade fee

monthly 647,50 ¤
yearly 7.770,00 ¤
one-time fees 347,00 ¤

However, in order to properly migrate, the old and new machines need to run in parallel for a while, I expect 1-3 months. The calculation then looks like this:

bilbo (EX6S)

79,00 ¤ base fee
39,00 ¤ GBit port
149,00 ¤ setup fee

kermit (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for failover
5,00 ¤ Failover-IP

pumbaa (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
99,00 ¤ upgrade fee

grisu (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for subnet
22,50 ¤ /27 subnet

floyd (EX6S)
79,00 ¤ base fee
39,00 ¤ GBit port
99,00 ¤ upgrade fee

bilbo (EQ4)
49,00 ¤ base fee
39,00 ¤ GBit port
15,00 ¤ Flexipack for SSD
15,00 ¤ SSD

kermit (EQ4)
49,00 ¤ base fee
39,00 ¤ GBit port

monthly 868,50 ¤
yearly 10.422,00 ¤
one-time fees 347,00 ¤

In order to move on with the migration, I hereby ask the board on behalf of the infrastructure team to:

(1) Approve a monthly infrastructure budget of up to 900 ¤

(2) Approve one-time fees for migration of up to 400 ¤

(3) By that, end any existing infrastructure budget approval

(4) The premise is that the monthly budget will only be necessary for no longer than including the 1st quarter of 2013, and then will be lower again

Most probably, for #4, costs will be lower much sooner again, but for the official approval I wanted to use conservative values.

If you have any questions, feel free to ask.

Florian

We have discussed this during today's BoD call, and it was approved - for details, see the minutes that follow soon
